Privacy Policy

NewsLetMe is a service based in Italy. This policy explains how NewsLetMe handles information when you use the service.

Information NewsLetMe handles

We handle your email address and account identifier; your connected Beehiiv publication ID and encrypted API key; newsletter content, metadata, links, image descriptions and headings; and payment identifiers and access status supplied by Stripe, including lifetime purchases and older subscriptions. We also keep AI usage counts to enforce account allowances and records of billing events to process payments reliably. NewsLetMe does not store your full payment-card number.

Imports can include public web, email, RSS and premium-reader content available through your authorized Beehiiv connection. For Pro accounts we also request aggregate post engagement totals, such as web views, delivered emails, opens and clicks, where Beehiiv provides them. This feature does not request a subscriber contact list or individual reader activity. Newsletter text itself may contain personal information.

Our hosting and authentication providers process technical information such as IP addresses, request details and security logs. If you contact support, we receive your message and any information you include.

Why we use it

We use account, connection and newsletter information to provide the service you request: sign-in, archive checks, engagement displays, saved score history and optional AI suggestions. We use billing information to confirm purchases and manage access. These activities are necessary to provide our service under our contract with you.

We process security logs, usage counts and duplicate-payment records for our legitimate interests in protecting accounts, preventing abuse and operating a reliable service. We retain information required by applicable accounting or other legal obligations on that basis. Where a feature requires consent, you may withdraw that consent without affecting earlier lawful processing.

AI suggestions and newsletter changes

When you request an AI suggestion, we send the selected post's title and an excerpt of its text to the configured AI provider. Link suggestions also send titles and slugs from a limited selection of other archive posts. We do not include your Beehiiv API key or payment details in those prompts. Ordinary archive checks do not require sending your archive to an AI provider. Review content before requesting suggestions if it contains confidential or personal information.

AI suggestions do not automatically publish changes. Applying a supported change sends the replacement title or meta description to Beehiiv after your confirmation. Editorial scores and suggestions do not make legal or similarly significant decisions about you.

Service providers

NewsLetMe uses Cloudflare for hosting, Supabase for authentication and database services, Beehiiv for authorized newsletter access, and Stripe/Link for checkout and payment services. Google Gmail is used for support and sending account emails through our configured email service. The AI integration supports Google Gemini, Groq and Anthropic; the provider configured for the service receives the requested suggestion's prompt.

Providers may process data outside your country, including outside the European Economic Area. Applicable provider agreements and lawful transfer mechanisms govern those transfers. Contact us for details of the current AI provider and applicable transfer safeguards before sending sensitive content. Payment providers also process information for their own payment, fraud-prevention and legal responsibilities under their privacy notices.

Browser storage and advertising

The service uses browser storage to maintain your sign-in session and remember your light or dark theme. Clearing that storage may sign you out or reset your preference. Your saved Beehiiv API key is held on the server, not in persistent browser storage.

Advertising is currently disabled for all plans. NewsLetMe does not currently load advertising-network scripts or use newsletter content for ad targeting. We will update this policy and obtain any required consent before introducing advertising or additional tracking.

Security and retention

For Pro accounts, loading your connected archive saves a daily SEO-check snapshot in Supabase: account, publication and post identifiers, scores, issue counts, and scan dates. History does not contain article text, titles or API keys. Only the backend can access this table and it returns history for your signed-in account and connected publication. We keep up to 90 daily snapshots per account, replacing the current day's scan and removing the oldest snapshots as new ones are saved. Account deletion also deletes these snapshots. These scores measure our editorial checks, not search traffic or rankings.

Your Beehiiv API key is encrypted before storage. Disconnecting Beehiiv removes the saved connection; it does not delete your Beehiiv publication, NewsLetMe account or existing score history. Imported article bodies, content variants and engagement totals are processed for the current archive view and are not saved in the score-history table. AI providers and operational logs have separate retention practices; we do not promise zero retention by those providers.

We retain account data while your account remains active. Usage records, billing-event records, support correspondence and technical logs are retained for their operational purpose or applicable legal obligations. You can request deletion at the address below; we will explain any information that must be retained and why. Provider backups may persist under their retention schedules.

Your choices and rights

You can disconnect Beehiiv from your Account page at any time and use archive checks without requesting AI suggestions. To request account deletion, access, correction, restriction or portability, or to object to processing based on legitimate interests, email us below. We may ask for enough information to verify account ownership. We generally respond to data-rights requests within one month, subject to lawful extensions.

You may complain to your local data-protection authority, including Italy's Garante per la protezione dei dati personali. NewsLetMe is the controller for the processing described here.
